1098-T Information

In previous years, your 1098-T included a figure in Box 2 that represented the qualified tuition and related expenses (QTRE) we billed to your student account for the calendar (tax) year. Due to a change to institutional reporting requirements under federal law, beginning with tax year 2018, we will report in Box 1 the amount of QTRE you paid during the year.

Depending on your income (or your family’s income, if you are a dependent), whether you were considered full or half-time enrolled, and the amount of your qualified educational expenses for the year, you may be eligible for a federal education tax credit. (You can find detailed information about claiming education tax credits in IRS Publication 970, page 9.)

The dollar amounts reported on your Form 1098-T may assist you in completing IRS Form 8863 – the form used for calculating the education tax credits that a taxpayer may claim as part of your tax return.

How To Obtain A Copy Of Your 1098-T

Harford Community College has once again partnered with General Dynamics Information Technology (GDIT), also known as Vangent, to enable you to access your 2018 1098-T Form electronically through a secure website. The 1098-T's are used to determine your eligibility for claiming Education Tax Credits on your Federal Income Tax returns.

If you are retrieving your 1098-T electronically for the first time:

  • Launch a web browser and go to http://tra.vangent.com (note: Internet Explorer 9 users may need to use "Compatibility View")
  • Click the 'First Time Students' button
  • Enter your full first and last names along with the last 5 digits of your social security number
  • Click 'Submit'

If records are present for you, you will be instructed to create an account (Follow the instructions on the website to create a free account and retrieve your 1098-T). NOTE: If records are not found or you have difficulty creating an account, use the 'Help' link in the left menu.

If you retrieved your 1098-T electronically last year and have already established an account:

  • Log into the Vangent system with the User ID and Password that you previously established. NOTE: If you do not remember your User ID or Password, click on the 'Student Help' link in the left menu.

Please note that the electronic copy of this form is being made available in late January, which is earlier than the availability of the paper copy. Paper 1098-T's will not be mailed until January 31, 2019.

Understanding the 1098-T Form

  1. Box 1 – Shows the total payments received in 2018 from any source for qualified tuition and related expenses less any reimbursements or refunds made during 2018 that relate to those payments received during 2018.
  2. Box 2 – This box will remain blank as HCC reports the reportable transactions when paid, see Box 1
  3. Box 3 – This box will be checked since HCC has changed its method of reporting from the prior year (from amounts billed to amounts paid).
  4. Box 4 – This box is not calculated or reported for tax year 2018 due to the change in reporting method.
  5. Box 5 – Shows the total of all scholarships or grants administered and processed by HCC. Loans are not included in this amount.
  6. Box 6 – This box contains any reduction in scholarships or grants made during the reported calendar year that were originally reported during the prior calendar year.
  7. Box 7 – This box will be checked if the amount reported in Box 1 includes amounts for an academic period beginning January through March of following calendar year.
  8. Box 8 – This box will be checked if you were at least a half-time student at HCC during any academic period that began in the reported calendar year.

You are not eligible to receive a 1098-T if:

  • Nonresident Alien Student
  • The qualified tuition and related expenses are entirely waived or paid entirely with scholarships or grants
  • There were no qualified payments received during the calendar year
  • You do not have a valid permanent address on file with HCC

How to obtain 1098-T tax form

  • The 1098-T tax form is not sent to Continuing Education students. If the student needs a receipt for tuition payments, they can contact the Cashiers Office at 443-412-2208.
  • Requests for 1098-T forms to be faxed or sent to a non-OwlNet email can not be honored.

Can my tax professional or those individuals claiming me as a dependent be sent my 1098-T tax form directly?

As required by FERPA (Family Educational Rights & Privacy Act), this information can only be provided directly to the student. Students, who are claimed as a dependent on another person’s tax return, should provide the form directly to that party.
